How do I add users to my QuickBooks account?

In QuickBooks Online, click the gear icon in the upper right corner and select Manage Users. From there, click Add User and choose the type of user you want to add. Enter their email address and QuickBooks sends them an invitation to access your company file.

The user types in QuickBooks Online determine what someone can see and do. Primary Admin has full access and controls the account. Company Admin also has full access but isn’t the account owner. Standard Users get customizable permissions where you choose which areas they can access. Reports Only users can view financial reports but can’t enter or change transactions. Time Tracking Only is for employees who just need to log their hours.

Standard Users offer the most flexibility for employees who need partial access. You can grant access to specific areas like sales, expenses, or payroll while blocking access to sensitive information like banking or reports. Think carefully about what each person actually needs to do their job before assigning permissions.

For your accountant or bookkeeper, QuickBooks has a dedicated Accountant user type. This gives them the access they need without using one of your paid user slots. If you’re working with a QuickBooks bookkeeper in Santa Fe, they can send you an accountant invite directly from their QuickBooks Accountant portal.

QuickBooks Desktop works differently. Go to the Company menu, then Set Up Users and Passwords, then Set Up Users. Desktop has a more limited permission structure and sharing files with others requires either hosting the file on a network or using a third-party hosting service.

A few things to keep in mind when managing users. Only give access that’s actually necessary. Someone who just needs to enter bills doesn’t need to see payroll information or bank balances. Review your user list every few months and remove anyone who no longer needs access. When an employee leaves, delete their user immediately.
